What is the difference between the Document List and the Approved Documents?

The Document List is maintained by the Project Manager and is a list of all documents that needs to be approved over the course of construction. Other team members will upload files corresponding to these list items in the Folders and attach them to RFA for approval. The Approved Documents are a repository of all documents approved through the RFA process, hence users can safely use the documents for construction.

What do all the document statuses mean?

1. Not Uploaded: There is a list item but no file attached to it. Please upload the corresponding document that you would like to get approved
2. Not Submitted for RFA: There is a document file uploaded to the list but it has not been attached to an RFA for approval just yet
3. In Progress: The document has been submitted for approval via RFA
4. Rejected: The reviewer has rejected the document, please resubmit accordingly
5. Approved: The document has been approved and a copy of it has been saved to the Approved Documents

Why can’t I attach this document in the Document List to an RFA?

You will not be able to attach a document to an RFA if that document is already attached to an earlier RFA.
Alternatively, it may be the case that there is no file uploaded and that is an empty list item

How do I submit an RFI to both the Architect and the C&S engineer for their reply?

By submitting the RFI and assigning both consultants to reply, they may both provide their reply concurrently.

How do I attach documents to an RFA?

Documents stored in the Document List can be attached to the RFA via 2 different means. First, through the RFA module where documents are individually attached. Second, by bulk selecting documents from the Document List and clicking ‘Create RFA’.

Why can’t I attach documents from my computer desktop to my RFA?

Accepted Answer

At current, only documents stored in the Folders can be attached to an RFA. This helps you by tracking the number of documents you have left to approve and helps your team set targets e.g the full Document List has 100 items: your team has uploaded 50 corresponding files and 10 have been approved by the consultants. So you have 10/100 approved, 40/100 pending approval and 50/100 with no corresponding drawing file.

I want to remind my consultant of a previously replied RFI, how do I show that RFI in my RFA?

Hubble allows you to link previous correspondences / workflows to your current work. You can select to link your RFI to the RFA as a ‘linked item’. This function can be used through all Hubble systems and if you are using more than one Hubble system, you may link one to the other e.g linking Method Statement found in Approved Documents for application for a Permit to Work

How do I submit an RFA for both the Architect and the C&S engineer to review / approve?

By submitting the RFA and assigning both consultants to review, they may both review and annotate the documents.
Depending on the developer’s requirements, it can be configured that the consultants can 1) review together in parallel or 2) sequentially, one after the other.

I'm using BIM360 for the Design portion. Can I look to integrate BIM360 with the Hubble Fabrication?

Yes. Do note that there will be additional costs incurred for this integration. Additionally, a consultation with us will help to determine the method of integrating the systems together.

Which BIM format does Hubble support?

Accepted Answer

The Hubble BIM management module currently supports the .ifc model format. However, if users are utilising other formats such as Revit, it is recommended that they convert it to the .ifc format prior to uploading it to Hubble.

Can the project progress status like fabrication or claim progress automatically reflect on the BIM model?

Currently, the progress claim status can be automatically reflected in the BIM model according to the progress of the claim. In the future, the BIM model will also support automatic fabrication status updates.

Does Hubble require any BIM software installed before viewing BIM in the Hubble system?

The utilisation of a specialised BIM software is not required, as the Hubble BIM manager features an embedded BIM viewer. This enables the visualisation of BIM without the need for additional, third-party software.

Hubble does not restrict the number of users to access the platform at one time. However, if clients wish to restrict user access, clients can control it by assigning user roles.

No, the subcontractors can only be invited into the project through the main contractor’s initiation.

No. They are not able to update or upload their personal data like certificates themselves. Instead, this task is typically done by an administrator like HR representative, who is responsible for maintaining accurate and up-to-date employee information.

Each zone will need to have a designated entry and exit location with thermal scanners installed for entry and exit record. Then the workers’ entry and exit activities can be recorded in the Hubble system. However it would require working with the hardware vendor to ensure proper integration and facial recognition.

1. Under the fixed approval level, the user is unable to modify their own permissions as it is not supported by the system.
2. Under the custom approval level, the user has the ability to make changes to their own assignments. They can do so by clicking on the chevron and updating the assignee to another user.

Note: If the approver has completed verification, assessment, or approval, the assignee cannot be modified by anyone so as to maintain accurate audit records.

At this time, we do not support the ability for initiators to go back to step 1 to rewrite the issue description once an approver has rejected the rectification. Our experience has shown that allowing this behavior can cause confusion and loss of focus on the actual issue at hand.
